Records Clerk

Records Clerk positions are typically hired part-time, with potential to increase to full-time as vacancies arise.

Records Clerks process Police Record/Criminal Records checks, answer and route incoming calls and direct visitors, perform data entry utilizing various software systems and ensure all pertinent information is collected from callers and in-person visits to ensure their customer service needs are met. Completing reports with a high level of accuracy and attention to detail is a necessary skill.

Front Desk Reception Clerk

Front Desk Reception Clerk positions are typically hired part-time, with potential to increase to full-time as vacancies arise.

Front Desk Reception Clerks answer and respond to incoming emergency and non-emergency calls in a calm and efficient manner.  Front Desk Reception Clerks direct visitors to the appropriate department/person and take reports not requiring police attendance.  They take all pertinent information from callers and in-person visitors, complete reports/data entry with a high level of accuracy. 

Records Clerk

  • Process criminal record checks for taxi applications
  • Assist members of the public requesting assistance at Records Counter including intake and processing of Police Record/Criminal Record Checks
  • Scan and attach requests for information in the Records Management System
  • Answer and route incoming calls and visitors to appropriate department/person providing assistance, approved documents or advice as required
  • Respond to switchboard phone by directing callers to destination or taking messages from the Front Desk or other areas
  • Take fingerprints of applicants for civil purposes and submit to the RCMP
  • Process requests for fingerprint destruction
  • Complete appropriate incident reports regarding crime or other matters reported by the public
  • Review entered occurrences for errors and omissions and ensure compliance with Kingston Police practices and procedures as well as compliance with requirements established by Canadian Centre for Justice Statistics.
  • Daily computer input of traffic report information and related material
  • Prepare documents and letters as required

  • Minimum grade 12 education
  • Solid keyboarding skills (35+ WPM)
  • Post-secondary education is an asset
  • Excellent customer service skills, ability to deal with clients in a tactful and courteous manner
  • High level of attention to detail and ability to stay focused
  • Demonstrated discretion and integrity in safeguarding confidential information
  • Ability to communicate in a professional manner, ensuring accurate information is conveyed
  • Excellent verbal, written and listening communication skills
  • Highly organized with exceptional ability to prioritize based on urgency and importance
  • Ability to multi task, adjust priorities, and work in a fast paced and demanding environment, meeting deadlines as required
  • Able to problem-solve
  • Experience with computers and software applications in a Windows environment
  • General knowledge of office procedures (copying, filing, telephone procedures, etc.)
  • Demonstrated skill in handling stressful situations and meeting deadlines

Front Desk Reception Clerk

Key Responsibilities

  • Answer and route incoming calls and visitors to appropriate department/person providing assistance or advice as required
  • Complete Incident Reports regarding crime or other matters reported by the public.
  • Record all parolees and charged persons required to report to Police Headquarters and record changes in addresses
  • Monitor security and report problems to Watch Commander
  • Assist in the audit of court related documents at the front desk
  • Process property items received at the desk, or left at the desk to be returned to owner
  • Responsible for reception area building security, during working hours (i.e. control flow of public and access doors)
  • Collect evidence from citizens through Evidence.com and attaching same to related occurrence reports
  • Transcribe reports through the online reporting system (DORS)
  • Undertake Commissioner of Oath duties

  • English language proficiency, including verbal and written communication and comprehension, is required
  • Minimum grade 12 education
  • Post-secondary education is an asset

  • Possess experience with computers and software applications in a Windows environment
  • Demonstrated ability to work as a team player as well as work independently
  • High level of attention to detail
  • Knowledge of the City of Kingston beneficial
  • Knowledge of a second language is an asset
  • Knowledge of basic police procedures, rules and regulations an asset.

Records Clerk

Shift Schedule

Shifts are scheduled between 0800h and 1800h, Monday to Friday. Typically, 8 hour shifts, with a one hour lunch break.

  • 0800h to 1600h
  • 1000h to 1800h

Front Desk Reception Clerk

Shift Schedule

Shifts are scheduled 7 days a week.

  • 0700h to 1830h
  • 1230h to 0000h (midnight)
  • 0830h to 1630h

Front Desk Reception Clerks are typically cross trained in Records to fill in for Records Clerks as needed.

Salary and Benefits

The hourly wage for records clerk positions ranges from $30.68 to $34.37.

The hourly wage for front desk reception clerks ranges from $29.36 to $38.01.

Pay increases are based on the step progressions defined in the Kingston City Police Association Civilian Collective Agreement.
